Job Overview

We are seeking a seasoned Executive Secretary to join our team at GREATBELL HR Consultancy Services PVT LTD. This full-time, mid-level position is crucial in providing administrative support and ensuring smooth operations. The role involves working closely with our General Manager across various locations including Thiruvananthapuram, Kollam, Ernakulam, Kottayam, and Pathanamthitta. Candidates should have between 7 to 10 years of relevant work experience.

Qualifications And Skills
• Provides administrative support to the General Manager. (Mandatory skill)
• Maintaining records and files with precision and accuracy. (Mandatory skill)
• To perform special duties as required by the General Manager. (Mandatory skill)
• Proficient in calendar management, including scheduling and organizing timelines.
• Experience in coordinating and managing travel arrangements efficiently.
• Skilled in planning and participating in meetings and ensuring effective follow-ups.
• Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
• Excellent communication skills, both written and verbal, for effective interaction with stakeholders.
• Ability to work independently and as part of a team in a dynamic environment.
• High level of integrity and professionalism in dealing with confidential information.

Roles And Responsibilities
• Manage the day-to-day administrative functions and support the General Manager actively.
• Maintain precise records and ensure files are updated and organized systematically.
• Handle calendar management including scheduling appointments and meetings for executives.
• Coordinate travel arrangements, including reservations, itineraries, and expense reports.
• Participate in meetings, take minutes, and follow-up on action items as needed.
• Conduct research and prepare presentations or reports as directed by management.
• Assist with special projects and perform other duties as assigned by the General Manager.
• Serve as a liaison between the General Manager and other departments or external parties.
